Naming Ceremonies

 

ENQUIRY STAGE – When you make your enquiry, if the date is confirmed, I will hold this date for you for 7 days pending receipt of your deposit.

PROVISIONAL BOOKING A provisional booking will hold your date for 7 days, after which a deposit is required in order to secure your date. If a deposit isn’t received then the date will be released and be available for other couples to book.

DEPOSIT – A non-refundable £100 booking fee is required to secure the date and time for your ceremony. At this point we will not book any other events on the day of your ceremony.

Script Payment - A further non refundable payment of £250 is to be paid once the script is signed off. If you do not provide information for us to write your script we will do our best to provide a lovely - all-be-it less personal - script for you. If we cannot secure approval from you for the script before the service, content will be at the celebrant’s discretion.

PAYMENT OF BALANCE – Payment of the outstanding balance of £100 is due 8 weeks prior to the ceremony, unless the booking is made with less than 8 weeks to go. Then payment is required in full at this time.

If you decide to change venue / date, we will do our level best to accommodate you.

MUSIC - You are to provide your own music in a format acceptable to the venue. You/the venue will be responsible for playing it on the day although we will liaise with whoever’s pushing the buttons to make sure they get the timing just right!

USE OF IMAGERY/TESTIMONIALS: This contract serves as release for any photographic likeness taken by Beautifully Bespoke Ceremonies to be used in print or electronically for promotional purposes only and guarantees they will not be intentionally exploited in any way. We may ask that you grant us consent to use photos taken at your event, and/or for you to provide us with a testimonial, to be used for promotional purposes. You are under no obligation to grant us such permission.

CONFIDENTIALITY – All the information that you give us is treated as confidential and we will not disclose any of it to any third party without your express permission. The content of your ceremony will be kept confidential, with the exception of any third parties we may include in creating your ceremony.

All correspondence and documentation in respect of our services, including any ceremony examples provided by us, must be kept confidential both before and after your event. Such information can only be shared with our express written consent.

CANCELLATION POLICY –

Changes to booking dates and times must be notified in writing and will be accommodated whenever possible but cannot be guaranteed.

If you decide to cancel your booking with us within 14 days of paying the deposit then it will be refunded in full. After this time the deposit cannot not be returned. Cancellations close to the ceremony date will result in charges as follows:

If you choose to cancel after the statutory 14 days, for whatever reason your fee will be invoiced as follows:

Fees forfeited for cancellation are as follows:

within 3 months of ceremony date – 60% of Celebrancy Fee;
within 2 months – 80% of Celebrancy Fee;
within 1 month – 100% of Celebrancy Fee.
Add to the above any special expenses paid by Celebrant, such as additional travel and accommodation expenses

Delay to ceremony start and finish: For every hour or part thereof past the agreed starting  time £75 will invoiced.

UNAVAILABILITY – If on the day of the event we are not able, for whatever reason, to provide the service you have paid for we will use our best endeavours to find a substitute celebrant to provide the service in our place. Only if no substitute celebrant can be found will you be entitled to a refund

INSURANCE - I am a member of the ICPC and have both £5 Million Public Liability Insurance and £1 Million Professional Indemnity Insurance. Certificates available on request.

CONFIDENTIALITY and GDPR – All correspondence and documentation in respect of our services, including any ceremony examples provided by us, must be kept confidential both before and after your event. Such information can only be shared with our express written consent.

I may process “personal data” and/or “special category data” as defined in UK data protection legislation.  This processing may be on my own behalf or on behalf of my clients – either way I process data as part of the contracted services and/or my administration.  I realise the importance of confidentiality.

Data may be processed on paper and/or in electronic formats.  When processed electronically, data may be held on a cloud based system and/or on a local server. Regardless of how data are processed, all feasible security measures are in place.  Data are held as long as they are relevant to the purpose for collection and/or if there is a statutory retention period. All data are destroyed by secure means when no longer required.

Data may be shared with third parties as part of my contracted services and/or if I am required by law to do so.  I cannot accept any liability for any processing conducted by a third party outside my remit.

None of the above affects your rights under the legislation, in particular your right to access the data we hold on you.  If you wish to request a copy of your data, please submit it in writing/email to me. Please include enough information to enable me to identify you and search for appropriate data. 

If you are dissatisfied with this policy, have queries about my data protection procedures or wish to lodge a complaint, please contact the business in the first instance.  Thereafter you have the right to submit a complaint to the Supervisory Authority, the Information Commissioner’s Office (ICO):
